Warning letters and action plans
If you reach 31 points or more in a payroll month, OTO HR sends you a warning letter and an action plan (Instructor Terms, clause 11.5). This article explains what you receive and what you can do.
The letter
- HR sends it by email and it also appears on your Quality page (open it from the points tile on your dashboard), in Arabic and in English.
- It lists the month, your points, and every points entry it is based on, with its date, rule and reason.
- It does not change your pay. The 20% deduction for 31 points or more is applied by payroll once, under clause 11.4; the letter deducts nothing further and does not change your contract or your account.
Acknowledge and reply
- Press I have received this letter to acknowledge it. Acknowledging it does not mean that you agree with it.
- You can send one written reply from the same page, up to 4,000 characters. You have 7 days, or until HR makes the action plan final if that is later. HR reads your reply and records what it decided before the plan is final.
The action plan
- The plan runs for 3 months from the day HR makes it final. It has goals and an owner from OTO who follows it with you.
- You and your plan owner hold a check-in about every 30 days. You see each check-in, its note and your points that month.
- At the end, HR closes the plan as completed, or extends it once by up to 3 months. While it runs, HR may refer the matter for a decision under your signed contract; HR will contact you. The platform never ends or suspends your account because of a letter or a plan.
- HR can withdraw a letter, with a reason. Its plan then ends and nothing more follows from it.
You get an email at each step. If something in a letter looks wrong (for example an entry you think is a mistake), say so in your reply.
